A reliable estimate is a document, not just a number. Look for:

  • A breakdown by feature, with ranges. A single figure suggests a precision that does not exist.

  • A list of unknowns and how they will be resolved, often through a short, paid discovery phase.
  • What is not included. Content entry, data migration, app store fees, hosting and third-party licences are often left out.

If two proposals are very far apart, the difference is almost always in the assumptions. Ask each provider to list theirs.

  2. Release a small, complete piece early. One complete workflow in real use teaches you more than months of specifications.
  3. Split the project into phases. Each phase has its own budget and a useful result, so you can stop, adjust or continue.
  4. Say no to “while we’re at it”. Keep a list of ideas for later phases instead of growing the current one.
  5. Own your code and accounts from day one. It keeps your options open and prevents costly lock-in.
